Unigames Regulations

  • For the first meeting we have to go over the Unigames regulations
  • To make it easy we start with regulation 2, which is:
    • The Committee may make decisions on a consensus basis. That is, a formal vote is not required if there are no objections to a decision.
    • Motion to approve this regulation:
      • Passes unamiously
  • Passing this regulation means that we don't have to individually approve each regulation unless someone objects. If someone objects then we discuss and evaluate
  • We discuss regulation 5, Jackie made a mistake when editing our regulations and it reads weird
    • 5: The four keys to the clubroom door shall be distributed as follows: One copy shall be kept by the President, one copy shall be kept by the Vice President, and one copy shall be stored in the combination key box mounted on the door, door, and one copy shall remain in the combination key box in the filing cabinet.
      • The issue is where it says 'door, door, and...' There don't need to be two 'doors'
  • We discuss regulation 9.1 about whether to raise the amount the person going on food run is given to claim a consumable in lieu of petrol money, we decide to keep it the same
    • The original intent (as told to us by Taylor Home) was to be able to buy a chocolate milk. You can still buy a chocolate milk (or an equivalent treat) for 3 dollars, we therefore don't need to change this
  • We discuss regulation 13.2 about feedback to Gatekeepers, we could specify that we always reach out within a reasonable amount of time to give the result of the potential Gatekeepers application. This would be an additional regulation, not changing existing ones
    • We already let Gatekeepers know if their application has been approved (and give feedback if it has not been), but it would be good to include in regulations
    • Potential wording: After committee has discussed an application, the person applying must be informed by committee of the result of their application in a timely manner
    • Suggested timely manner is about 48 hours
  • We discuss regulation 16, this point on Webkeepers doesn't have the word 'consenting' in it, where Gatekeeper and Commissioner do. For example, point 15: 'The Committee may appoint consenting members to the role of Commissioner. Commissioners shall have the following duties and powers, in addition to those elsewhere in the Regulations...'
    • Gozz (one of our Webkeepers) talks about how he actually owns the servers the Unigames website is hosted on, so it doesn't matter if he's consenting, he can't reasonably be disallowed access from being a Webkeeper and we can't reasonably remove Webkeeper duties from him
    • We literally can't stop Gozz from being a Webkeeper, he owns the servers that the website run on
    • If we did stop Gozz from being a Webkeeper our servers would have to end up someplace else and in someone else's hands, which would be very difficult to facilitate
  • We discuss point 22.2, this point is no longer needed/applicable
    • 22.2: Note: the most easily accessible vacuum cleaners can be borrowed from either UCC or UniSFA
    • Nene brought in a vacuum in 2024! So right now the most accessible vacuum is in the clubroom and this doesn't have to be specified in the regulations
  • We discuss point 23.2, rephrasing using brackets to make the meaning clearer
    • 23.2: Members of Unigames and individuals representing other groups or societies e.g. UWA Clubs may borrow it's resources for use on a "large scale"
  • We discuss point 23.3.1.1, we should rename the box
    • 23.3.1.1: The borrower's student card, or another form of valid ID considered equivalent by the gatekeeper, is to be held in the compartment on the side of the notes box, in place of the borrowed resource.
    • This is the only place in the document we call it the notes box, everywhere else it is called the wall box
  • We discuss point 23.4.1.1, we use the website over the borrowing book now, and we discuss where it's posted about how long things can be borrowed out and at whose discretion
    • 23.4.1.1: The club member's details, along with the details of the resources borrowed, must be documented in the borrowing book.
    • Potential rewording: The club member's details, along with the details of the resources borrowed, must be documented using the Unigames website, or where the website is unavailable, using the borrowing book, or a specified earlier date set by the librarian
  • This discussion extends to point 23.5.5.2.1, we should change it to mention the website instead of the borrowing book
    • 23.5.5.2.1: When doing this, both short-term and long-term borrowing procedures must be followed. (i.e. Details must be documented in the borrowing book and a form of valid ID must be left.)
  • We are going to add wargaming minis as a short-term borrowable item in line with the points we have on dice, this would be an additional regulation
    • Potential wording: Wargaming minis may only be borrowed short term, and cannot leave Cameron Hall. In the case that Cameron Hall is both too busy and unsuitable to hold an intended game or event, they may be long-term borrowed provided that they don't leave the UWA campus and for no more than 24 hours
  • We discuss point 25, changing towards the purchase of a item to changing towards the purchase of an item
    • 25: If a person donates a resource or pledges money (for example, via the 'Splat Rule') towards the purchase of a item, then it shall be recorded as such inside the resource
    • It's just grammatically incorrect

ICONS Regulations

  • We discuss ICONS regs 7.1, a comma would make this read in a more understandable manner
    • Potential rewording: The subcommittee, not having the power to distribute funds independently of their respective clubs, any finances required are to be sourced from the club(s) involved in the event
    • Could probably still be done better but this is a discussion for ICONS and not solely Unigames committee

Unigames Code of Conduct

  • We discuss the new Unigames Code of Conduct
    • We may rephrase the examples of hate speech to include others, we also fear it may downplay what is and isn't involved
      • Current included examples, 'This includes but is not restricted to: homophobia, transphobia, queerphobia, racism and ableism.'
    • We may include to respect names as well as pronouns
    • We may write down our casual 'veto' rule about headphones and speakers (any member can request a music or video be turned off)
    • May change wording of 'Please be mindful of how games may affect your emotions, and how your emotions may affect others'
      • It could be about how your actions affect others, not emotions
    • We may specify you can come to committee about more than just discomfort but about questions too
    • We could mention sexual violence more specifically, and dissuade people from putting on unwanted advances/sending unwanted romantic/sexual messages to fellow club members
    • We should state that minors sometimes inhabit this space and to be respectful/cautious
    • We could put mention of the complaint form, but caution people that not EVERYTHING goes in the complaint form and you can/should reach out to committee members, gatekeepers, etc
