• SNoM was on last Sunday (shock)
  • Attendance was 0 but two fresher campaigns were running. This counts?
• We've had a request to run F/SNoM in an accessible venue
  • Ezone or CCZ could work
    • Set up of Ezone works better for the event structure, CCZ is very hard to get after hours access
  • Generally F/SNoM is run very casually rather than as a strict here and when event
    • It might still be worth it to book out a room during that time?
  • We will have to change the EMP as currently they are just repeated
  • It's difficult to make sure it's in EZONE consistently, because EZONE will be booked out for exams

Precon League - Semester 2

• Prizing happened, precon league is over! Thank you everyone for coming
• There seems to be an misunderstanding with the discount GGs offers for committee purchases
  • They are under the impression that the discount was reduced from 15% to 10% earlier this year, while we are under the impression that it has stayed 15%
  • Nene is in contact with GGs

Reality Fracture Prerelease - Sunday 27th of September

• Product shipping issues with GGs means we're not totally sure if this will happen?
  • Nate will email them this Sunday to organise the kits
    • An email has been sent, but they seem to just not really know
  • Tactics might need to supply the prerelease kits, but might not have as much prizing/have as much stock
• An EOI will need to be sent out to MtG general
• EMP and advertising are done by Nate and Valerie!

  • Following correspondence with them over the past few weeks, they have decidedly determined that they will not be sending the promised reshipment, as we did eventually receive our first order
  • Since we were under the impression that we would be receiving double the playmats, we sold them for half the price. This now means the club is making a substantial loss on the playmats

Meeting time

• We've discussed it a lot
• Lucy is unable to attend meetings in person for the rest of the semester (4 more weeks at present)
  • The Secretary is elected to do club correspondance and minute, so it is an issue
  • Alternating meeting times are difficult, as it leave a long and short time between the available two meeting (between Monday and Thursday leaves a 9 and 3 day gap)
  • We have tried our best to make a committee meeting happen at a time that is available for everyone. There is never malicious intent with committee decisions to impact committee members or the member base at large, which has not and will never be the case
    • Please be kind to your committee members!

Feedback

• We received feedback about how our committee discord functions
• Conversations happen in our private committee discord, which the general memberbase is not privy to. These leads the memberbase to only know the outcome of every public decision, and not be aware of all of the reasoning behind it, or every committee member's perspective
• The person who submitted the feedback claims that this is leading towards animosity between committee and the general memberbase
• Solutions proposed by this person are
  1. Making a public committee general chat within the Unigames discord server, where all committee correspondence that would not be within a closed section occurs there. This channel would be read only to ordinary members
     2. The secretary, or some other committee member, adds a summary of all committee correspondence via the committee discord to the minutes every week
• Our opinions of this...
  • The Unigames committee is often under a lot of scrutiny by members. Committe discussions being this public will position us under a lot more scrutiny.
  • The minutes already mention all information pertinent to the member base
  • There are a lot of separate channels within the committee Discord to partition thoughts, and one channel that condenses all this would make this very difficult to keep track of - 10 new channels in the Unigames Discord is hardly ideal
  • Committee meetings are open to the public and often online, and members are welcome to join meetings, DM a committee member for clarification, use the ask-committee channel, or go through feedback forms
    • There are numerous ways to contact, have your voice heard, and be kept up to date on committee, and a majority of feedback given is acted upon
  • Read-only channels in the Unigames Discord could result in a lot of members moving elsewhere to bring up issues, defeating the point of it being read only and creating unnecessary work for committee members
    • Publically available messages between committee could contribute to members criticising what could be done differently instead of offering real feedback
  • It is important to remember that committees are elected individuals to represent the voice of members
  • New members to committee could feel ostracised when asking questions or posting advertising that may be incorrect, as it will be under scrutiny of the larger member base
