- EMP has been done and advertising is out
- Gen will be there to run it
Blood on the Clocktower Event - Week 7, Sunday 13th of April @ 1pm
- We will have two people running BOTC games, likely with reservations (as we have done in the past)
- Gen will storytell Bad Moon Rising and Ash will storytell Trouble Brewing
- Can probably accommodate up to 25 people
- Gen did the EMP, cannot book the Loft because we can't book it on weekends
- Advertising will be out ASAP
Gen: Email someone about booking the Loft for BOTC and Charity Vigil

Ella: Confirm collaboration time with SNAGS
RPGs
One Page RPG One-shot Night - Week 6, Wednesday 2nd of April @ 4pm
- It was yesterday!
- Attendance: 18 with GMs
- Ran well, very popular considering the usual attendance of this event
D20 One-shot Night - Week 8, Wednesday 16th of April @ 5pm
- Lucy can run this, with Connor overseeing
- We will probably book more rooms for it (like in the CCZ)
- It won't be just DnD, we will include other D20 systems like Pathfinder, Starfinder and 13th Age
- Advertising has been put out, waiting to receive descriptions from GMs (at which point we sort out the reservations)
Connor: Book extra rooms for D20 One-shot Night
Spire One-shot Night - Week 9, 28th-4th of April/May
- We could get at least 4 GMs
- Ash and/or Jeremy will sort out the EMP
- We will give action items once the event is closer (it's over a month away right now)
Ash: Message GMs for Spire One-shot Night and sort out a time/date for the event
WestMarche
- Ash has a list of four GMs, this may be enough to run WestMarche
- Ash, Connor, Alistair, and Gibbi
- This WestMarche system will likely be Spire
- EOI will be out once Fresher Campaigns have properly started up (so maybe another two weeks or so)
Ash: Create EOI for WestMarche
TCGs
Magic: The Gathering
Booster Box Buying Bhenanigans
- Bloomburrow gone
- Aetherdrift is also gone now
- Two Tarkir boxes in the Monolith, we will wait to put these out until after the prerelease
SNoM - Week 8, Sunday 20th of April @ 11am
- Jeremy can do the EMP and advertising for next SNoM
Jeremy: EMP and advertising for upcoming SNoM
MTG Precon League
- Ash has released the rules and challenges
- EOI was also put out
- Precon league information will be put out this weekend
- We have a discussion about whether the Precon League should be on Sunday or Monday
- The EOI poll ended up on Monday by 1 more vote than Sunday
- Previously the league was on Monday and we received feedback that some people couldn't make it
- We also have 2 Fresher campaigns on Sunday that would be impeded by Precon League (as well as prereleases and SNoMs)
- We will do another poll (for 24 hours) about whether the league should be on Sunday or Monday
- Anna is also now helping Ash with the league
Ash: Do a poll for Sunday vs Monday for Precon League
Tarkir: Dragonstorm Prerelease - Week 6, Sunday 06/04 @ 11am
- Advertising is out!
- Good Games is happy to supply us boxes for the prerelease

- Jeremy, Ash and Anna will be running the event
- Eventlink has also been sorted out for Good Games
MTG Sponsorship Feedback
- We have been refunded for past mistaken charges to the amount of $369.40
- Connor spoke with Jason Tactics
- Very chill about us going to Good Games for Magic stuff
- We nailed down that we will still be doing Book Buys, prizing, etc from Tactics
- Jason is a chill, cool dude
'Magic in Unigames' Document
- A lot of the changes to club decks will be in line with Gibbi's suggestions, we are looking at updating our club decks as well as buying and creating new ones
- Noyan Darr and Unesh are being removed
- Killian may be getting replaced
- Horde of Notions will get an upgraded
- Jhoira will be reworked and converted into Shao Jun
- 2 new decks: Thalisse and Treebeard
- Donald's cards will be returned to him before we auction off Killian, Unesh, and Noyan Darr
- We will make people aware that these cards have been removed before we auction them
- They will likely be replaced by basic lands
- We are also considering making info cards for the decks, giving details about the deck (like how to play it) and a QR code to link to the Archidekt
- Drafts for the decks are ready, Ash will be emailing GGs about the cards today
Ash: Make drafts and get cards for the new MtG club decks
Other TCGs
Pokemon Tournament
- It's unlikely a Pokemon Tournament will be able to happen for some time (due to Nene and Jeremy's schedules and the current price and availability of booster boxes/packs), so this section will be removed next meeting
- Efforts will instead be focused on a SAP style Pokemon event, or card trading event
Pokemon Event
- We have received a request for a more casual Pokemon event in anticipation of a tournament
- Something like SAP, but probably not SAP
- This would be good for new players and such
- We could play between standards and play in an unlimited format temporarily
Nene, Jeremy: Figure out a new Pokemon Event
Intro to Flesh and Blood
- There has been a lot of interest in Flesh and Blood as of recent
- Gen would like to make up an EOI for it, specifically for a day that people could make
- The EOI will be put in announcements pinging TCG players when Gen isn't uprooting her entire life
Gen: Make up an EOI for Intro to Flesh and Blood
Wargaming
Introductory Painting Day - Saturday, 26th of April @ 12pm
- Finn is interested in helping at Introductory Painting Day alongside Cam
- Paid event, looking at buying minis instead of 3d printing them
- This would be a mini and a paintbrush people can pay to use and then take home
- The mini would be imperial guards
- We may run this at a small loss to keep it affordable
- Finn has nine hormagaunt figures that they can donate for the purpose of the event, therefore we can start selling tickets at 15 dollars, and if we get under 10 tickets we can splurge on some nice brushes, if we get more than 10 we will buy more figures and slightly less good brushes
- The figures are 86 dollars for ten (8.60 each)
- Anna will take over the advertising and setup for the event
- EMP is done, Gen is sorting out a sign up/payment form, we will likely do paper forms (like we do for camp) so we have a set amount of available tickets
Anna, Connor: Advertising for Introductory Painting Day
Connor: Make a form for Introductory Painting Day
Anna: Make a ticket guide for Introductory Painting Day
Warhammer 1k Tournament - Saturday 5th of April @ 8:30 am
- It's this weekend!
- We can do cans, like we have at previous events
- Unfortunately not pizzas due to logistics
- Announcement has been bumped
- 7 tickets sold so far for this tournament
Warhammer 2k Tournament - Saturday 12th of April @ 8 am
- Advertising has been put out and bumped, quite a few sign ups
- We can do pizzas and cans, like we have at previous events
- Busy bee is that day so presumably someone will be able to help with the food/drinks
- 10 tickets sold so far for this tournament
Blood Bowl
- Round 5 has officially started, but round 4 is still ongoing
- Incident report form was sent to our commissioners by Connor
OPR/Indie Skirmish
- We have received interest in a skirmish event for OPR, which is basically a cheap Warhammer (with no model requirements and simpler rules)
- Could be ideal considering our apprehension in promoting Games Workshop too much and our hopes for cost effective wargaming
- We can look into running this later as we are presently running a bunch of events
Collaborative Events
- No updates
Major Events
Joint Camp
- Profit distribution is going through
- $4,096.89 sent to UCC

- This section will be removed next meeting

- New paints
- These have been paid for but we won't receive them until March (likely)

- 4 playmats

- Can open up for pre-order as well, this was done last time
- New paints
- Stretch goals we have acquired:

- It's tomorrow!
- Currently four accepted nominations for OCM
Club Carnival - Week 6, Tuesday 1st of April @ 12-2pm
- It was on Tuesday!
- It was a bit quieter than usual, could be because:
- Later in semester
- We've already had so many sign ups

- "Minute that down," - Jackie, about something I didn't hear
- We also handed out fliers about the new UWA policies, Connor chatted with some people about it too
- Unifi is an app that advertises events, someone spoke to Connor about it at the carnival, we might try to start using it again? Connor will ponder the orb

- Pay-to-win RPGs
- Connor organising a Ta Yu tournament with a chess clock, maybe also a Bananagrams tournament
- Connor and Jeremy making coffee
- MtG draft with the packs we're selling in the clubroom
- We could auction our [REDACTED] name
- We can no longer do this because the date has been pushed back and it's not enough time to create advertising
- We need to get our raffle prizes soonish
- We would like to donate all our snack money from the night to charity but we don't know how much money we have, so we will decide for sure once we have access to the finance system again
- The charity choice is Circle Green
- We need some things to auction, Gen will look into it
- We also need to organise a schedule for the night
Gen: Organise raffle prizes
Gen: Find things to auction at Charity Vigil
Gen: Organise Bananagrams and Ta Yu tournament
Ash: Sort out random packs for Charity Vigil draft event
Anna, Connor: Set up schedule for Charity Vigil
Fresher Zone
Fresher Campaigns
- Almost every campaign has been sorted out, with some snags like people dropping out, not getting in contact, etc
- Gen messaged the fresher GMs who didn't get groups
- Fresher GM training:
- This is being brought up because traditionally our fresher GMs are very well versed in Unigames and are a first point of contact for freshers, this isn't necessarily the case for this recent round of fresher campaigns
- We could train our fresher GMs in some stuff that our Gatekeepers know about, like borrowing, buying merch, etc, as they're not all gatekeepers
- We will reach out to some of the GMs and see if they're interested in being run through some need-to-know club stuff, and give them FAQ docs we've made

- Gen can be there, Anna has said she can clean the room early that day
- Connor is planning on talking to tenancy about the Guild Master Plan and the renovations
- Waiting on our tenancy contract and for campus management to fix our lights
SPGs
- An SPG is a Special Project Grant, it's a grant to fund club events
- We need to decide what we want to use the SPG for, in the past we've used it for stuff like Quiz Night
- It means we can run events at a 'loss' because the grant is considered a profit
- These are due April 18th, they may be changing about whether they're collaborative or not
- There is a chance we could use the SPG for [REDACTED] but still unclear, if we can do it for this we will absolutely be doing so
- Can be used for: making tickets cheaper, buses to camp, paying someone to be a proper head chef for camp
Lecture Bashing Policies
- We are considering joining the anti-club carnival to continue showing our displeasure with these new policies
- We offered fliers at the real club carnival that gave info about the policies

- The people like shirts and we are running low on them
- Anna is doing a vibe check, the vibe is hell yeah
- We could do a design contest for some special order shirts

Library

- They don't have it and don't know when it'll be in
- For the Queen
Painting the Blood Bowl Minis
- Current team colours:
- Black Orcs: Black and purple with gold metallic highlights
- Imperial Nobility: Purple and green
- James has decided on the dwarves to be painted lore accurate
- Alex has decided the elf should be painted black and red, like the Korean T1 esports team
- He has also requested for FAKER to be written on the back of one of them
- We need to ask Cam for a status update
- Cam is waiting for a replacement part for his airbrush so we're waiting for that
Jeremy: Message Cam about the Blood Bowl Minis
Objective Markers
- We have received feedback about our objective markers for wargaming
- They are fraying at the edges
- They are not centred (which does affect gameplay)
- We also don't have enough, we need 6 more
- We should contact the people who we bought them from on Etsy, if they don't want to give us new ones we can repair the ones we have, and then we will order more (which hopefully have no issues)
- We will handle this next next meeting
Donations
- No updates
General Maintenance

Nene: Make a timeline for the Phoenix Zine
Newsletter
- It got put out
- Thanks for doing your job Nene

- We can print out the table priority list and put it in the clubroom
- Anna has a draft that we will check, then she will print and laminate it
Gen: Print out a guide to the table priority in the clubroom and put it up
Discord Moderation
- Anna created a document and it looks very good!
- It touches on things that should be moderated in the discord and what to do if things go wrong, like punishments and discord features we can use as punishments
Committee Business
Feedback
- Some feedback we have received as a committee:
- On the feedback channel:
- The feedback channel should remain public as it is believed that it is better than all feedback being given privately
- Having discussions about submitted feedback is good and informative both for members and committee
- Feedback may be better as a forum or as sets of threads though as the channel has had the tendency to get clogged lately, and a lot of messages get lost when the conversation gets fast
- The feedback channel should remain public as it is believed that it is better than all feedback being given privately
- Committee has been under the pump and this may have caused trouble in regards to keeping on top of things (like the SGM/OGM mix-up)
- It is very important for the committee to keep track of things like general meetings which are laid out in our constitution and important in the eyes of Guild
- This committee is also an inexperienced committee (5 new committee members to 4 established committee members with no IPP) and so we are prone to making more mistakes because we don't have the experience past committees have
- Could reach out to older members more for problems that we face, we shouldn't turn inwards and make everything appear as if it is running well
- On the feedback channel:
- This feedback was read out by Connor at our meeting and as we all generally agreed with the points made there was not much discussion about them individually
- Now that we have received this feedback we are able to improve and looking forward to doing so
Piracy
- Connor has written the rule, he will update the rules soon
- We can keep the name thing as a rule, but it isn't something we'll enforce with punishment, we will continue to politely ask people to change their names
Connor: Update the Discord rules with a rule against piracy
Banking
- Anna is interested in a cap on how much we have in our Commbank account
- She was talking to UniSFA about it, they are only allowed to have $500 dollars in that account as a protective measure
- It may be better practice to put it into the Guild account instead of collecting in the Commbank
- It's also probably time we got a Square
- To get one of the small ones, it's 65 dollars with a surcharge, and we have to have an account
- This should not be an issue aside from having people connect it to their phones
- However if we have a dedicated square device this could be made easier

Handovers
- Nene will be writing a small handover for minuting so even if they're not at a meeting, the minutes always have a uniform format
- Mani of Tabletop ECU fame has also requested access to some of our past handovers to get a frame of reference for how he could organise his club
- We are happy to do this, but will check over them first to make sure they're all suitable
- We will at some point write a handover for our AGMs and how to run them properly, this will have to be done after SOC finishes updating their documents, and after we make amendments to our constitution surrounding AGMs and voting
Nene: Write small handover for minuting during the meeting
Connor: Read over the handovers and then send them to Mani
Meeting closed: 9:08 pm
