Usual Suspects

Board Games

Collaborative Boardgames - Week 7, Tuesday 8th of April @ 5pm

  • It was a couple of days ago!
  • Attendance: 9
  • It was good!
  • Started with The Mind then split off into separate games, a couple of freshers!

Blood on the Clocktower Event - Week 7, Sunday 13th of April @ 1pm

  • Gen will storytell Bad Moon Rising and Ash will storytell Trouble Brewing
  • Can probably accommodate up to 25 people
  • Advertising and reservations both went out!
  • This Sunday!
  • Trouble Brewing booked out, BMR has 7 attendees, might swap people around on the day maybe?

Employed Boardgames - Study Break, Thursday 24th of April @ 12pm

  • Anna can run this, Gen can help with the EMP and advertising
  • Games like:
    • Sky Team
    • Codenames
    • Tokyo Highway
    • Zoo Vadis
    • Azul
    • Breaking Bad (sure okay)
    • Sheriff of Nottingham
    • Galaxy Trucker
  • EMP and advertising have been done!

SNAGS Collaboration - Week 10, Wednesday 7th of May @ 5pm

  • Can play boardgames about the environment, like:
    • Oceans
    • Climate
    • Photosynthesis
    • Busy Beaks
    • Takenoko
    • Catan (isn't this actually about colonisation)
  • River doesn't know how to make an EMP, so Ella will make it (with help)
  • Will be in the SNAGS clubroom

Ella: Do EMP for SNAGS collaboration

Fall Boardgames - Week 12, 19th-25th of May

  • Can be about Autumn or dexterity, we have yet to decide
    • Also the product of our event suggestion form, thank you Emvy for submitting this idea!
  • Will assign someone to this once it's closer

RPGs

D20 One-shot Night - Week 8, Wednesday 16th of April @ 5pm

  • Lucy can run this, with Connor overseeing
  • We will probably book more rooms for it (like in the CCZ)
  • It won't be just DnD, we will include other D20 systems like Pathfinder, Starfinder and 13th Age
  • Advertising and reservations have both been put out
    • It's been quiet so far
  • We can bump closer to the event? Probably on the weekend or Monday

Connor: Book extra rooms for D20 One-shot Night

Spire One-shot Night - Week 9, Friday 2nd of May

  • We could get at least 4 GMs
  • Ash and/or Jeremy will sort out the EMP
  • Can do Friday with Connor, Ash, and Will as GMs

Ash: Do EMP and advertising for Spire One-shot Night

OSR One-shot Night - Week 11, 12-18 of May

  • Stands for Old School Revival
    • Includes games like the Odd-likes, Old School Essentials, Mork Borg, etc
  • Quite a few weeks away still so we'll do action items closer to the date
  • Jack B will organise it

WestMarche

  • WestMarche is maybe not viable to run this semester so Ash will be putting it off until at least semester 2
  • This item will be removed from the minutes next week

TCGs

Magic: The Gathering

Booster Box Buying Bhenanigans
  • Second Tarkir box almost eaten by the masses
  • Next box will probably be LoTR, Tarkir or Duskmourn
  • Will likely get two, probably a Tarkir box then something else
Tarkir: Dragonstorm Prerelease - Week 6, Sunday 6th of April @ 11am
  • It happened!
  • Attendance: 28 people (very high!)
  • Will need to organise a lot of boxes for the next prerelease, especially if it's highly anticipated like this one was
  • Still ran quite well despite high attendance, helped that 3 committee members were there
  • Some feedback:
    • Prizing and pricing very good (on par with Good Games)
    • If we get this many people again, we should think about how we organise payments for the event effectively
      • Was hard to tell who had and hadn't paid already
    • Should organise a hard cut off of people, probably 30
      • We were full with 28 people
      • We could do prereleases in the Ezone so we could accomodate more people?
        • Also means everyone would be in the same area, easier to have people line up and pay
        • Means fresher campaigns can play in the Loft and clubroom (two Fresher campaigns were organised for this past Sunday at the same time as the prerelease)
SNoM - Week 9, Sunday 27th of April @ 11am
  • EMP has been done
  • Moved from the 20th because that's Easter Sunday

Jeremy: Advertising for upcoming SNoM

MTG Precon League - Weekly on Mondays @ 5pm
  • Starts on the 21st of April at 5pm, is then weekly (following 3 Mondays)
  • Ash put out the legal precons, scoring, and advertising, so everything is done
  • So far 6 people have signed up, many more who are looking to sign up
    • At the very least we will have 10 players
  • Ash will be figuring out prizing at the end of week 1 of the League
  • Monday was picked over Sunday in the redone poll, 60/40
  • Feedback from Chris Leak, asking to put Precon Leagues on non-Mondays so different people can make it
    • We did discuss this at the beginning as we received feedback about it, hence why the polls were done
    • Next precon league will be on a non-Monday to make it fair
'Magic in Unigames' Document
  • A lot of the changes to club decks will be in line with Gibbi's suggestions, we are looking at updating our club decks as well as buying and creating new ones
    • Noyan Darr and Unesh are being removed
    • Killian may be getting replaced
    • Horde of Notions will get an upgraded
    • Jhoira will be reworked and converted into Shao Jun
    • 2 new decks: Thalisse and Treebeard
  • We are considering making info cards for the decks, giving details about the deck (like how to play it) and a QR code to link to the Archidekt
  • Donald's cards have been returned to him
  • Ash has gone to GGs, they have maybe 30% of the cards we need, so we could get the other 70% from Card Kingdom
    • Will be slightly more expensive because of the USD to AUD
      • And the tariffs (not even a joke)
  • It will be 260 AUD to get all the cards we need, we would save some by getting what we can through GGs
    • This doesn't include shipping

Ash: Get quotes for how much the new MtG decks will cost

Other TCGs

Pokemon Event
  • We have received a request for a more casual Pokemon event in anticipation of a tournament
    • Something like SAP, but probably not SAP
  • This would be good for new players and such
  • We could play between standards and play in an unlimited format temporarily
  • Nene and Jeremy will work on it in the upcoming week when they're not as busy

Nene, Jeremy: Figure out a new Pokemon Event

Intro to Flesh and Blood
  • There has been a lot of interest in Flesh and Blood as of recent
    • Me when I'm a skeleton
  • Gen reached out to some of the FAB heads, will hold off on organising things until everyone has gotten back to her

Gen: Sort stuff with Flesh and Blood

Wargaming

Introductory Painting Day - Saturday, 26th of April @ 12pm
  • Finn is interested in helping at Introductory Painting Day alongside Cam
  • Paid event, looking at buying minis instead of 3d printing them
    • This would be a mini and a paintbrush people can pay to use and then take home
    • The mini would be imperial guards
    • We may run this at a small loss to keep it affordable
  • Finn has nine hormagaunt figures that they can donate for the purpose of the event, therefore we can start selling tickets at 15 dollars, and if we get under 10 tickets we can splurge on some nice brushes, if we get more than 10 we will buy more figures and slightly less good brushes
    • The figures are 86 dollars for ten (8.60 each)
  • Advertising, ticket guide and guide to selling tickets have all been put out
  • Tickets are available for sale in the clubroom for $15
  • We may print off a physical poster for the clubroom so people can see it in person, this will also encourage word of mouth
Warhammer 1k Tournament - Saturday 5th of April @ 8:30 am
  • It happened!
  • Attendance: 8 people
  • Room was a pain like usual
  • Two people went home early because their roommate has COVID, all attendees were made aware of it
Warhammer 2k Tournament - Saturday 12th of April @ 8 am
  • Advertising has been put out and bumped, quite a few sign ups
  • We can do pizzas and cans, like we have at previous events
    • Busy bee is that day so presumably someone will be able to help with the food/drinks
  • 13 tickets sold so far for this tournament
  • Connor has graced Lucy with his student card
Future Warhammer Tournaments
  • We will be sending out survey after this weekend for what we might run, ideas for dates, etc
  • Lucy thinks we could run something early in the holidays (doubles tournament), and something like a 1k at the start of next semester
Blood Bowl
  • Round 5 is fully underway
    • "Bloodbowlington," - Connor
OPR/Indie Skirmish
  • We have received interest in a skirmish event for OPR, which is basically a cheap Warhammer (with no model requirements and simpler rules)
  • Could be ideal considering our apprehension in promoting Games Workshop too much and our hopes for cost effective wargaming
  • We can look into running this later as we are presently running a bunch of events

Collaborative Events

  • We missed a couple of emails from clubs last year looking to collaborate, during semester 2 we will try and reach back out to them to organise events with them

Major Events

Uncharity Vigil - 1st - 2nd February

  • Stretch goals we reached:
    • New paints
      • These have been paid for but we won't receive them until March (likely)
    • New stationery box
    • New Eunigames playmats for the clubroom (Commission)
      • 4 playmats
      • We could work with Good Games to do this, would have to email them and discuss
      • We want to commission Jackie
        • Jackie did our last playmats and they are very very good
      • This requires a larger discussion, we will wait a bit on this
      • Can open up for pre-order as well, this was done last time
  • Stretch goals we have acquired:
    • 8 new chair cushions
    • Whiteboard markers
    • Laminator
    • 2 new battle maps
      • One big one small
      • We'll probably get rid of one that's in bad condition because we've now got two new ones
    • Couch LED strips
      • Wow he actually brought them in

Nene: Get stationery box

April Ordinary General Meeting - Week 6, Friday 4th of April @ 2pm

  • Attendance of exactly 21 (for most of the meeting)

  • Leaders: Connor, Gen
  • Things we have to organise for camp:
    • Food run
      • Changes to the menu
    • Library run
    • Attendance cap
      • Probably 65 people, this is less than Manjedal Activity Centre can hold, but it's a more manageable number for committee and the other people who run it
  • We have 2 current first aid certificate holders, 3 RSA holders, and 2 driving licenses for emergency drivers
    • Most of us are keen to get first aid certificates but we will have to explore options, Connor will organise it
    • Food safety certificates are REQUIRED for all committee members
  • Food:
    • We cook for people on camp
    • We only cook lunches, dinners and a breakfast on Monday (otherwise breakfast is like, cereal and toast)
    • We will be encouraging gatekeepers to help us on camp (this means they have to do their food safety certification as well)
    • People need to be on top of cleaning in the kitchen, hopefully with people who are cleaning as we go while cooking
  • Events:
    • Assassins: Lucy and Nene
    • Quiz Night: Ash, Ella, Gen, and Lucy
    • Debates: Jack D and Nene

Charity Vigil - Week 10, Friday-Saturday the 9th-10th of May

  • Reps: Gen, Nene
  • Dates:
    • A motion has been passed to move the date of Charity Vigil again, to the Fri-Sat of Week 10 which is the 9th to 10th
  • Specific Unigames events:
    • Pay-to-win boardgames
    • Pay-to-win RPGs
    • Connor organising a Ta Yu tournament with a chess clock, maybe also a Bananagrams tournament
    • Connor and Jeremy making coffee
    • MtG draft with the packs we're selling in the clubroom
  • We need to get our raffle prizes soonish
  • We would like to donate all our snack money from the night to charity but we don't know how much money we have, so we will decide for sure once we have access to the finance system again
  • The charity choice is Circle Green
  • We need some things to auction, Gen will look into it
  • We also need to organise a schedule for the night
  • Nene did the poster, this is the point in the meeting where everyone looks at the poster
    • Everyone loves it
  • Chaos draft:
    • Good Games is happy to give us a 30% discount on the packs we want, however they don't have too many packs they can discount heavily, so we may pick a specific booster box
    • We may contact Tactics about this instead

Gen: Organise raffle prizes

Gen: Find things to auction at Charity Vigil

Gen: Organise Bananagrams and Ta Yu tournament

Ash: Sort out random packs for Charity Vigil draft event

Anna, Gen: Set up schedule for Charity Vigil

Fresher Zone

Fresher Campaigns

  • Jack is still sorting out spots where people have dropped out to try and get everyone a game
  • Fresher GM training:
    • This is being brought up because our fresher GMs should be very well versed in Unigames and are a first point of contact for freshers, this isn't necessarily the case for this recent round of fresher campaigns
      • We need this out of our Fresher GMs as they are a first point of contact for the Freshers who are in their campaigns
    • We could train our fresher GMs in some stuff that our Gatekeepers know about, like borrowing, buying merch, etc, as they're not all gatekeepers
    • We will reach out to some of the GMs and see if they're interested in being run through some need-to-know club stuff, and give them FAQ docs we've made

Connor: Sort out Fresher GM training

    • This was given to us with the idea that we would reduce ticket prices (ONLY ticket prices)
    • This would halve the ticket price if we put it all into that

Guild

SOCPAC Meeting - Week 9, Tuesday 29th of April @ 6pm

  • Next one is the 29th of April

Tenancy

  • Tenancy inspection on Tuesday the 15th of April between 12 and 2pm
    • Gen can be there, Anna has said she can clean the room early that day
  • Connor is planning on talking to tenancy about the Guild Master Plan and the renovations
  • We have received our tenancy agreement
    • It has changed since last year, quite significantly
    • Gen went through and catalogued the changes between this years agreement and last years, please note these are only some of the changes in the document and is not an exhaustive list
      • The guild shall provide contents insurance - not in this years agreement
        • Means that they insure our stuff because it's in their space
      • There is no longer a clause about Tenancy cleaning common areas, this used to be there
      • New clauses about common areas being part of the club's responsibility to clean if the club uses those common areas
        • It says if we don't keep them clean we can lose our allocations
      • New clause about keys, says the executive members are responsible for the keys and need to pay if they get lost
      • Clubrooms must be used for their 'intended use'
      • We are now liable for the costs of damage to the building
      • Lots more restrictions on new equipment, now it says us adding stuff without approval counts as misconduct (meaning we could get punished)
      • If a clubroom isn't clean enough we would be liable for cleaning costs when a new one moves in
      • Clubs can now be forcefully entered without notice if no one is there to unlock door for maintenance people (for example)
      • Clubroom evictions are now 2 weeks notice instead of 4
  • Gen will be sending an email about all of this and disagreeing with the idea of signing this tenancy agreement, and asking them for their rationalisation of the changes
  • ICONS has been messaged about this
  • There were also maggots in one of the bins upstairs, Gen chased people down about it all day until someone came up to fix it
    • We were told cleaners visit Cam Hall twice a week... We believe this to be untrue
    • She sent a strongly worded email about this also

Gen: Email tenancy about our new contract

SPGs

  • An SPG is a Special Project Grant, it's a grant to fund club events
  • Due April 18th still
  • We got an email from Nic about the changes to SPGs, which means they can be used for events off campus
  • Formerly SPGs had to fill three criteria points for them to be filled, now it's the same as any other grant
  • This grant will be used to cover some costs from camp, like the invoice, and then we have an additional amount of money to use for other things

Anna, Connor: Work on the SPG

Lecture Bashing Policies

  • We are considering joining the anti-club carnival to continue showing our displeasure with these new policies
  • We offered fliers at the real club carnival that gave info about the policies

General Business

Gatekeepers

  • No new gatekeepers
  • Jackie is almost done writing the Gatekeeper FAQ document
  • Gen has almost finished the Gatekeeper training hand-over

Gen: Write the Gatekeeper training hand-over

  • Funded by Uncharity
  • We decided on getting Vallejo Inspiration Colour Set
  • They have been paid for so we're just waiting to receive them

2023 Ball Photo

  • Jackie told Connor to look for magnets
  • We will soon budget magnets
    • We'll approve it by circular

Connor: Get magnets for the Ball photo

Open/Close Sign

  • Nene fixed it at the end of the meeting
  • No longer as see through, better readability
    • "I never even noticed it," - Ash, to Nene's dismay

Step Stool

  • We have received requests for a step stool in the clubroom so shorter people can reach our high up library items
  • This would preferably be a fold up step stool

Lucy: Research step stools

Shirt Order

  • Anna has started a thread about what special shirt colour we should order, we are very much vibing with a sage green
  • Anna will get it ready to be happening

Anna: Organise a shirt order

Ella, Gen: Think about a design contest for special order shirts

Fresher Campaign Schedule

  • Ash suggested we could post the fresher campaign (and other campaign) schedules that we have on the whiteboard on the discord, maybe in its own dedicated channel
  • A separate channel may not get utilised enough for it to be worth it, it could alternatively be in quick-links or in a current-events forum post
  • We will be posting a photo of it (that will likely be updated weekly, if needed), in quick-links

Library

2024 Sem 2 Book Buy

  • Games waiting for Tactics:
    • For the Queen
      • They don't have it and don't know when it'll be in

Sem 1 Book buy

  • Announcement will probably go out during the upcoming study break
  • Actual book buy meeting will probably be in the study break before exams (after week 12)

Painting the Blood Bowl Minis

  • Current team colours:
    • Black Orcs: Black and purple with gold metallic highlights
    • Imperial Nobility: Purple and green
  • James has decided on the dwarves to be painted lore accurate
  • Alex has decided the elf should be painted black and red, like the Korean T1 esports team
    • He has also requested for FAKER to be written on the back of one of them
  • Cam can bring the minis in maybe around Monday, definitely sometime next week

Objective Markers

  • We have received feedback about our objective markers for wargaming
    • They are fraying at the edges
    • They are not centred (which does affect gameplay)
    • We also don't have enough, we need 6 more
  • We should contact the people who we bought them from on Etsy, if they don't want to give us new ones we can repair the ones we have, and then we will order more (which hopefully have no issues)
  • Jeremy will email the place about the markers, Lucy will basket sew the edges of the ones we have so they stop fraying
    • But won't start sewing until after we email (in case they want to replace them)

Jeremy: Email the Etsy shop about the objective markers

Lucy: Sew the edges of the objective markers

General Maintenance

  • The Blood Bowl board is peeling in a spot
  • The spine for our book Rogue Trader is suffering
  • A Hakbal deck sleeve is broken
    • The deck sleeve has been replaced! Ash bought the sleeves and Jeremy resleeved the deck
  • Lucy has researched paint brushes, her general recommendations are that we get between 3-5, wouldn't recommend getting anything fancy, no dry brushes but do get textured brushes, no small brushes, sizing from 0-2, 8 dollars each before discount? Between 8-15, packs go for about $20
    • For brands: Vallejo, we can get them at Tactics, reasonably priced, and good quality, hard to ruin
    • Citadel, Warhammer's official brand, way too expensive and Lucy feels they aren't worth it
    • Army Painter is fine but Lucy doesn't use them so she can't give a proper opinion
  • We may get other opinions on sizing as Lucy prefers to use smaller ones which might not be ideal for all users
  • We will make sure Gatekeepers look over the paintbrushes when they're returned so they can check that they've been washed properly and haven't been ruined, might also make a brush care guide
  • Lucy will get specifics on which kinds she'll get and how many

Jeremy: Fix the peeling Blood Bowl board

Jeremy: Fix the Rogue Trader book spine

Lucy: Research new paint brushes for the club

Food Runs

  • Anna and Ash did one
  • Woolworths has good deals for the 30 packs of cans, but Kirks is better at Coles
  • We are in Bundaberg heaven though
  • Oreos are expensive everywhere

Phoenix Revival

  • Jackie got a quote, we can afford to pay for them
  • They will be kept in the clubroom
  • For 5 copies it's 10 dollars, 2 dollars each
  • Jackie will get these and show someone how to order them
  • Nene sorted out the timeline for Phoenix that happened last year, we could be on track for it if things started soon
    • But do we want to do it this year? We don't actually have to do it every year, even if it's nice to have
    • We could redo the timeline for this year to give more time to people to make submissions in the midsem break and over sem 2, and then have them prepared for print and perhaps sale early 2026
  • This isn't for immediate work, Nene (and perhaps others) will probably start working on it properly in the mid-semester break

Connor: Talk to Jackie about the Phoenix Zine

Newsletter

  • There will be one in the future
  • Probably within the month as it is a monthly newsletter
  • But who can say?

Table Priority in the Clubroom

  • Anna put up so many table priority posters in the clubroom
  • Ash apparently told Anna to print five (this was too many)
  • There used to be five now there's four
    • This is maybe still too many, but it's safe to say everyone is very aware of the Unigames table priority

Discord Moderation

  • Anna sent the document out to our Gatekeepers
  • Some feedback Anna received:
    • Mostly about piracy (and what is defined as piracy), we just ask people not to drop links with pirated stuff on them in the Unigames discord
    • If you're concerned it might be pirated stuff just please don't put it in our discord

Committee Business

Feedback

  • Some feedback we have received as a committee:
    • On the feedback channel:
      • The feedback channel should remain public as it is believed that it is better than all feedback being given privately
        • Having discussions about submitted feedback is good and informative both for members and committee
      • Feedback may be better as a forum or as sets of threads though as the channel has had the tendency to get clogged lately, and a lot of messages get lost when the conversation gets fast
    • Committee has been under the pump and this may have caused trouble in regards to keeping on top of things (like the SGM/OGM mix-up)
      • It is very important for the committee to keep track of things like general meetings which are laid out in our constitution and important in the eyes of Guild
    • This committee is also an inexperienced committee (5 new committee members to 4 established committee members with no IPP) and so we are prone to making more mistakes because we don't have the experience past committees have
      • Could reach out to older members more for problems that we face, we shouldn't turn inwards and make everything appear as if it is running well
  • This feedback was read out by Connor at our meeting and as we all generally agreed with the points made there was not much discussion about them individually
  • Now that we have received this feedback we are able to improve and looking forward to doing so

Piracy

  • Connor has written the rule, he will update the rules soon
  • We can keep the name thing as a rule, but it isn't something we'll enforce with punishment, we will continue to politely ask people to change their names

Connor: Update the Discord rules with a rule against piracy

Unifi

  • Unifi is an app that advertises events, someone spoke to Connor about it at club carnival, we might try to start using it again?
  • Connor will ponder the orb

Connor: Think about using Unifi again

Banking

  • Anna is interested in a cap on how much we have in our Commbank account
    • Anna will be working out with Guild Finance how to organise a cap on the Commbank, she would not like more than $500 in there at any given time
  • It's also probably time we got a Square
    • We have a device, we will investigate the device
      • The device is busted
    • Anna did some research and we can get a tablet for about 92 dollars from Officeworks that we would use only for the Square reader, and maybe some Gatekeeper documents to have on there
      • Why do we need a device? It's easier for Anna (so she doesn't have to approve the individual transactions) and better for security (we don't have to connect the Square to every gatekeepers phone)
        • The suggested device has a battery capacity for 3 hours lollll
      • Could be put on an SPG.... but we want [REDACTED] on SPG
      • We could get a square with a terminal, it's about ~300 dollars, but it's also lowkey better
    • The Square would be about 65 dollars too
  • We agree that a Square with a terminal would be better
    • And it'll be called FREAK
  • Meeting to change signatories was had and so bank access is being moved from old committee members to new

Uploading Old Minutes

  • No updates

Nene: Upload old minutes

Nene: Fix the old minutes

Organising Old Records

  • No updates

Nene: Organise and scan the old records

Housekeeping

  • Officeworks run, getting stuff like:
    • Sticky tape (clear)
    • Stapler
    • Envelopes
    • Scarp
    • Blutak
  • Nene started organising the emails... Emails hate to see them coming
    • This just means we have labels and sub inboxes to keep track of things like emails from our sponsors, receipts, room booking confirmations, tenancy stuff, grant stuff, etc
  • Nene put the ICONs dates on the calendar yoooo they're the GOAT

Nene: Organise the google drive

Nene: Organise the email inbox

2025 Committee Posters

  • They'll probably be done this weekend and printed/put up next week
  • Once the posters are done Nene will organise a meet the committee post for Instagram

Nene: Figure out a meet the committee post

Website Updates

  • No updates

Handovers

  • Nene will be writing a small handover for minuting so even if they're not at a meeting, the minutes always have a uniform format
  • Mani of Tabletop ECU fame has also requested access to some of our past handovers to get a frame of reference for how he could organise his club
    • We are happy to do this, but will check over them first to make sure they're all suitable
  • We will at some point write a handover for our AGMs and how to run them properly, this will have to be done after SOC finishes updating their documents, and after we make amendments to our constitution surrounding AGMs and voting
  • By the end of the year we will have a fresher campaign portion of the Fresher Representative handover

Nene: Write small handover for minuting during the meeting

Connor: Read over the handovers and then send them to Mani
